Usage Alerts
LangCTL sends notifications when you reach:
- 75% of limit: Warning notification
- 90% of limit: Urgent notification
- 100% of limit: Action required notification
When you hit your key limit, you cannot create new translation keys until you delete existing ones or upgrade your plan.

- Keys created/deleted per day
- Export operations count

Export usage reports as CSV for analysis.
Plan Limits Explained
Translation Key Limits
What counts:
- Each key counts as 1, regardless of languages
- Draft and published keys both count
- Soft-deleted keys donβt count (after 30 days)
Example:
Key: home.welcome
Translations: en, es, fr, de, ja (5 languages)
Count: 1 key (not 5)
Project Limits
What counts:
- Active projects only
- Archived projects still count
- Deleted projects donβt count
Free plan: 1 project only Pro/Team/Enterprise: Unlimited projects
Team Member Limits
What counts:
- Active members
- Pending invitations
- Owner counts toward limit
What doesnβt count:
- Removed members
- Expired invitations
- Revoked invitations
API Key Limits
What counts:
- Active API keys
- Inactive keys (not revoked)
What doesnβt count:
- Revoked keys
- Expired keys
AI Translation Limits
Monthly quota:
- Resets on 1st of each month
- Each language-key pair = 1 translation
- Overage not charged (hard limit)
Example:
Translating 10 keys to 3 languages = 30 translations
Bulk translating 100 keys to Spanish = 100 translations
AI translation quota resets monthly, regardless of your billing cycle date.
Upgrading Your Plan
How to Upgrade
- Go to Subscription page
- Click βUpgrade Planβ
- Select target plan (Pro, Team, or Enterprise)
- Choose billing cycle (monthly/annual)
- Enter payment information
- Confirm upgrade

Immediate Effect
After upgrading:
- β New limits apply immediately
- β Access to new features unlocked
- β Existing data preserved
- β Prorated billing (paid difference only)

When upgrading mid-cycle:
- You pay only the difference
- Prorated for remaining days
- Credit applies to first bill

Charge today: $9.50 (50% of $19)
Downgrading Your Plan
How to Downgrade
- Go to Subscription page
- Click βChange Planβ
- Select lower plan
- Review impact on limits
- Confirm downgrade
Downgrade Effects
Takes effect: At end of current billing period Data retention: All data preserved Excess usage: Must reduce before downgrade completes
If you exceed the target planβs limits, you must reduce usage before downgrade can complete. For example, if downgrading to Free, you must have β€500 keys.
Downgrade Checklist
Before downgrading to Free plan:
- β Reduce to 1 project (archive or delete others)
- β Reduce to 500 keys per project
- β Remove team members (keep only owner)
- β Reduce to 1 API key
Downgrade will fail if these conditions arenβt met.
Billing Management
Payment Methods
Supported payment methods:
- Credit cards (Visa, Mastercard, Amex)
- Debit cards
- ACH bank transfer (Enterprise only)
- Wire transfer (Enterprise only)
Update Payment Method
- Go to Subscription > Payment Method
- Click βUpdateβ
- Enter new card details
- Save changes
Existing subscriptions continue without interruption.
Billing History
View all past invoices:
- Invoice date
- Amount charged
- Plan and period
- Payment status
- Download PDF

Failed Payments
If payment fails:
- Email notification sent immediately
- Retry after 3 days automatically
- Second retry after 7 days
- Account suspended after 10 days
Update payment method before suspension to avoid downtime.
Suspended accounts cannot access translations or export files. Update payment method ASAP to restore access.
Canceling Subscription
How to Cancel
- Go to Subscription page
- Click βCancel Subscriptionβ
- Provide feedback (optional)
- Confirm cancellation
After Cancellation
Immediate:
- Billing stops at period end
- Access continues until period end
- No refunds for unused time
At period end:
- Downgraded to Free plan
- Must comply with Free plan limits
- All data preserved
Reactivating
You can reactivate anytime:
- Go to Subscription page
- Click βReactivateβ
- Select plan
- Confirm payment
Usage Optimization Tips
Reduce Key Count
Delete unused keys:
- Remove test/debug keys
- Delete deprecated translations
- Consolidate duplicate keys
Use modules efficiently:
- Group related keys
- Export only needed modules
- Archive old modules
Soft delete cleanup:
- Permanently delete old soft-deleted keys
- They stop counting after 30 days
Manage Team Size
Optimize roles:
- Use Viewer instead of Member when possible
- Remove inactive members
- Share accounts for external reviewers (not recommended)
Rotate seasonal team:
- Remove after project completion
- Re-invite when needed
Optimize AI Usage
Batch translations:
- Translate multiple keys at once
- More efficient than individual
Review before translating:
- Check if translation needed
- Use copy from default language when appropriate
Leverage translation memory:
- Copy similar translations manually
- Reuse existing patterns

FAQ
Can I change from monthly to annual billing?
Yes! Switch anytime from the subscription page. Youβll receive a prorated credit and save 20% going forward.
What happens if I exceed my limits?
- Keys: Cannot create new keys until you delete some or upgrade
- Projects: Cannot create new projects
- Team: Cannot invite new members
- AI: AI translation disabled until monthly reset
- API Keys: Cannot generate new keys
Do I get refunds if I cancel?
No refunds for unused time, but your access continues until the end of your current billing period.
Can I export my data before canceling?
Yes! Export all your projects before canceling. Your data is preserved, but itβs good practice to back up.
What happens to my data if I downgrade to Free?
All data is preserved. You must reduce usage to comply with Free plan limits, but existing translations remain accessible.
How do I get an invoice for accounting?
Download PDF invoices from the Billing History section. Need custom invoices? Contact support.
Can I upgrade and downgrade multiple times?
Yes, but frequent changes may result in confusing prorations. We recommend staying on a plan for at least one billing cycle.

Cannot Upgrade
- Payment method declined (update card)
